Terms of Service

Last updated: 3 November 2026

These terms are the agreement between you and the operator of fenfill. Please read them before you create an account or buy a plan — by doing either, you accept them. We have kept them in plain English; where a sentence carries a real consequence, it says so plainly rather than hiding in a long paragraph.

1. Who we are and what this covers

fenfill is operated by Larksong sp. z o.o., ul. Stefana Batorego 18/108, 02-591 Warszawa, Poland, registered under KRS 0001275290, NIP 7011337480, REGON 546037291 (“fenfill”, “we”, “us”). In these terms “you” means the person using fenfill and, where you use it for an organisation, that organisation.

These terms cover the fenfill website, the web app, the forms you build with it, and the pages your recipients use to fill them. Our Privacy Policy and Refund Policy are part of this agreement.

1a. Business users and consumers

Some parts of these terms apply differently depending on who you are. You are a consumer if you use fenfill mainly for purposes outside your trade, business or profession. Under Polish law, a sole trader who signs up for a purpose that is not professional in nature for them is treated like a consumer for these purposes. Everyone else is a business user. Where a section says “business users only”, it does not apply to consumers. Nothing in these terms limits rights that a consumer cannot give up under the law of the country where they live.

2. What fenfill does

You upload a blank PDF form. fenfill reads the pages, works out where the fillable areas are, and turns the document into a web form that you or the people you send it to can fill in a browser. The filled result is generated as a PDF in the browser of whoever is filling it, and downloaded by them. fenfill stores the blank document and the field layout; it does not receive, store or process the answers anyone types. That is a product design decision, and it is also a limit on what we can do for you — we cannot recover, re-send or inspect a filled form, because we never had it.

To use fenfill you need an internet connection, a current web browser with JavaScript enabled, and a Google or Microsoft account to sign in.

3. Your account and your workspace

  • You sign in with a Google or Microsoft account. You are responsible for keeping access to that account secure, and for everything done through your fenfill account.
  • Your forms live in a workspace. The workspace owner controls the plan, billing and deletion. Where a workspace has more than one member, each member can see and use the workspace's forms, and only the owner can change the plan.
  • You must be at least 16 years old, or the minimum age of digital consent where you live, whichever is higher. fenfill is designed for professional use; anyone aged 16 or older may use it.
  • You may delete your account at any time from Settings. If the workspace has an active paid subscription, cancel it first — see section 6.

4. Plans, prices and how you pay

fenfill has a free plan and paid plans. Current plans, prices and limits are on the pricing page, and the limits shown there are the ones actually enforced by the product. There is no free trial: the free plan is the trial.

Paid plans are sold through Stripe Managed Payments, and Sold through Link, LLC(“Link”) is our merchant of record. When you buy a plan, the purchase is a transaction between you and Sold through Link, LLC, not with us. That means their terms and privacy notice apply to the purchase itself; they take the payment, calculate and remit VAT or sales tax, and issue your receipts and invoices. Checkout opens on Stripe's own site. Your card statement will show LINK.COM* FENFILL.COM, rather than fenfill alone. We never see or store your card details — we receive only your plan, its status, its renewal dates and the identifiers that let us match the subscription to your workspace.

Prices are shown exclusive or inclusive of tax as indicated at checkout, and the amount you confirm at checkout is what you pay. We may change prices for future billing periods; we will tell you at least 30 days before a price change affects a renewal, and you can cancel instead.

5. Renewals, plan changes and proration

  • Renewal. Paid plans renew automatically — monthly or yearly, whichever you chose — until cancelled. Each renewal is charged to your payment method on file.
  • Annual renewal reminder. We email you at least 30 days before an annual plan renews, with the date and the price.
  • Cancelling after an annual renewal. If you cancel after an annual plan has renewed and outside the 14-day money-back window, we refund the full months left in the period you paid for.
  • Upgrades. An upgrade takes effect immediately, and the prorated difference for the remainder of the period you already paid for is added to your next invoice. The higher limits apply straight away.
  • Downgrades and switching from yearly to monthly. These also take effect immediately, and the unused part of what you paid is credited against your next invoice rather than refunded. Read section 6 before downgrading — the lower limits apply at once.
  • Failed payments. If a payment fails, Stripe retries it for a few days and we show the problem in Settings. If it is never collected, the subscription ends and the workspace returns to the free plan.

6. Cancellation, downgrades and frozen forms

You can cancel at any time from the billing portal we link to in Settings. Cancelling stops the next renewal; your plan stays active until the end of the period you have already paid for, and you keep the paid limits until then. We do not pro-rate or refund the remainder of a cancelled period, except under the Refund Policy.

When your plan ends, or when you move to a plan with room for fewer forms, anything above the new limit is frozen, not deleted. Frozen forms stay in your dashboard and can be restored by upgrading, but they cannot be filled or shared, and links to them stop working. fenfill freezes the forms you have used least recently first.

A frozen form is permanently deleted 60 days after it is frozen, together with its stored document. The deletion date is shown on each frozen form so you can export or upgrade in time. This is the one place in fenfill where inaction destroys data, which is why it is stated here, in the app, and in the plan-change confirmation.

7. Refunds

Every paid plan comes with a 14-day money-back guarantee on a first purchase and on an annual renewal. The details, including how to ask and what happens to your workspace afterwards, are in the Refund Policy, which forms part of these terms. Statutory consumer rights, where they apply to you, are unaffected.

7a. Complaints

If something in fenfill does not work as it should, email support@fenfill.com with a description of the problem and the account it concerns. We answer every complaint within 14 days. If you are a consumer, fenfill is a digital service and must conform to this agreement. If it does not, you may ask us to bring it into conformity, and where we cannot or do not, you may ask for a price reduction or end the contract, as the law of your country provides.

8. Signature fields are an appearance, not an e-signature service

fenfill can place a drawn, typed or uploaded signature appearance onto the exported PDF. That is all it is: an image on a document.

fenfill is not an electronic signature service and not an identity verification service. It does not authenticate signers, does not produce a signing certificate, audit trail, timestamp or tamper-evident seal, and makes no claim that a document signed through fenfill is legally binding or that it meets the requirements of eIDAS, the ESIGN Act, UETA or any comparable regime. If you need a qualified or advanced electronic signature, use a service built for that purpose. You are responsible for deciding whether a signature appearance is adequate for your situation.

9. Automatic field detection is not perfect

fenfill detects fields automatically. Detection can miss a field, invent one, mis-label one, or misjudge a box's size or type — particularly on scans, dense tables and unusual layouts. The editor exists so you can correct all of that.

You are responsible for reviewing a form before you share it, and for checking the finished PDF before you file, send or rely on it. We provide the form “as detected” and make no warranty that a generated form or exported document is complete, accurate, or acceptable to any authority, court or counterparty.

10. Your content and the permission you give us

The documents you upload and the forms you build from them stay yours. We claim no ownership of them.

To run the service, you give us a limited, non-exclusive, worldwide licence to store, copy, transmit and process your documents and form layouts — and to have our subprocessors do the same on our behalf — purely to provide fenfill to you. That includes sending the pages you pick of an uploaded document to our field-detection provider (Google Gemini) each time you run field detection, so the fields can be found, as described in the Privacy Policy. The licence ends when you delete the content or your account, subject to short technical backup cycles.

Business users: where your documents contain personal data of others, our Data Processing Agreement forms part of these terms and governs that processing.

We do not use your documents to train machine-learning models of our own, and we do not sell them.

11. Acceptable use

You agree that you will:

  • upload only documents you have the right to use — your own, your client's (with their permission), public government or court forms, or documents you are otherwise licensed to reproduce;
  • respect the intellectual property of others, and not use fenfill to redistribute proprietary or standard-body forms you are not licensed to reproduce;
  • not use fenfill for unlawful, deceptive, infringing or harmful purposes, including forgery, phishing, impersonating a person or an authority, or collecting information under false pretences;
  • not send links through fenfill to people who have not agreed to receive them, and comply with the law that applies to you when you contact recipients;
  • not attempt to break, overload, probe or circumvent the service, its limits, its rate controls or its access controls, and not scrape or resell it;
  • keep the service out of use cases whose law requires retaining and auditing the submitted data itself — fenfill deliberately does not retain it, so it is the wrong tool for those.

To report content you believe is illegal or infringes your rights, see section 11a.

11a. Reporting content and our decisions

Anyone can report content on fenfill they believe is illegal or infringes their rights, using our report form or by email to abuse@fenfill.com. Please include the link, why you believe the content is illegal, your name and email (unless the report concerns child sexual abuse material), and a statement that the report is made in good faith. We review reports promptly and with care. Where we remove or restrict content or an account, we tell the user affected and give our reasons, unless the law forbids it, and they can reply to support@fenfill.com to contest the decision. We do not use automated tools to remove content. support@fenfill.com is also our single point of contact for authorities and users under the EU Digital Services Act; we correspond in English and Polish.

11b. The API and the MCP server

On Pro and higher plans you can use fenfill through our API (api.fenfill.com/v1) and through the fenfill MCP server, a program you run on your own computer that lets an AI agent use fenfill. All of these terms apply to that use, with the following additions.

  • API keys. Any member of your workspace can create and revoke keys in Settings. A key acts for your workspace: we treat whatever is done with it as done by you. Keep keys secret (out of public code, and not shared outside your workspace), and revoke a key straight away if you think it has leaked. We show a key once and store only a hash of it. A key stops working when it is revoked or when the person who created it leaves the workspace. While your plan doesn't include API access, we refuse requests made with any key.
  • Agents act for you. If you let an AI agent or any other automated tool use fenfill on your behalf, you are responsible for what it does with your key, including what it uploads and the page scans it uses, as if you had done it yourself. Section 11 applies to automated use too: in particular, upload only blank forms you have the right to use. The MCP server refuses PDFs whose form fields already hold answers, but it can't recognise answers handwritten or typed onto the page of a flat document, so check what your agent sends.
  • Page scans. Analyzing a form through the API uses page scans from your plan's allowance, at the same rate as in the app, as described in the API documentation. A request we refuse before the analysis starts uses none, and if an analysis fails on our side, the page scans reserved for it are returned automatically, usually within the hour. Filling forms with the MCP server happens on your computer and uses no page scans. We don't sell API use separately.
  • Rate limits. We limit how many requests a key can make, and how many analyses a workspace can run at once. The current limits are in the API documentation. Don't try to get around them, for example by spreading requests over several keys or workspaces. We may change the limits to prevent abuse, for security, or to keep the service stable for everyone, and we keep the documentation up to date. Raising a limit needs no notice. If we lower one in a way that materially affects your use, section 13 applies.
  • Your integrations. Your plan covers your own workspace's forms. Without our written agreement, don't use the API to offer fenfill's form analysis to others as a standalone service of your own (for example, a public field-detection API). Building fenfill into your own product, for your own customers' forms, is fine. If you do, you are responsible to them for that product, and you must not suggest that fenfill endorses it. This rule is about our service, not the MIT-licensed code of the MCP server.
  • Suspending a key. We may suspend or revoke a key, or limit API access, if it is used in breach of these terms, puts the service or other users at risk, or appears to be compromised. Where it is reasonable, we will warn you first, as in section 16.
  • Changes to the API. The API is versioned (/v1), and we may add to it at any time. Before we remove or change anything in a way that breaks existing integrations, we give at least 30 days' notice, in the documentation's changelog and by email to your workspace's owner, unless the change is urgently needed for security or legal reasons. If you are a consumer, section 13 also applies to such a change.
  • The MCP server is open source. The fenfill MCP server (@fenfill/mcp) is published under the MIT licence. That licence, not these terms, governs your copy of its code: you may use, copy, modify and distribute it on its terms. These terms govern your use of the fenfill service it connects to, including your key and your plan. The MIT licence comes with no warranty; sections 14 and 15 apply to the service. Consumers: nothing in this paragraph limits your statutory rights regarding the fenfill service.

12. Features marked “coming soon”

Some features are shown on our pricing page with a Coming soon label. Those are our current intentions, not commitments: they carry no delivery date and we may change, delay or drop them. Do not buy a plan for a feature marked that way unless you are happy with the plan as it stands today. If a labelled feature matters to you and does not arrive, the 14-day money-back guarantee applies in the normal way.

13. Availability and changes to the service

We work to keep fenfill available and quick, but we do not promise a particular uptime and do not offer a service-level agreement. Maintenance, third-party outages and faults happen. We may add, change or remove features; if we remove something you rely on, or make a change that materially reduces what a paid plan does, you may cancel and ask for a pro-rated refund of the unused part of your current period.

If you are a consumer, we change fenfill only for a valid reason (security, legal requirements, new or replaced features, or provider changes), at no cost to you, and we tell you beforehand. If a change materially harms your use of fenfill, you may end the contract free of charge within 30 days of the change, and we refund the unused part of your period.

14. Disclaimers

For business users: fenfill is provided “as is” and “as available”. To the fullest extent the law allows, we exclude all implied warranties, including merchantability, fitness for a particular purpose and non-infringement.

For consumers, fenfill comes with the conformity rights the law gives you (section 7a), and this section does not limit them.

fenfill is a document tool. It does not give legal, tax, immigration, medical or financial advice, and nothing it produces is a substitute for advice from a qualified professional. Whether a completed document is correct, valid, timely, or acceptable to its recipient is your responsibility.

15. Limitation of liability

For business users only: to the fullest extent the law allows, we are not liable for indirect, incidental, special or consequential loss, nor for lost profits, lost business, lost goodwill, or for a document being rejected, filed late, filled in wrongly, or lost — including data that is deleted after the frozen-form period described in section 6.

For business users only: our total liability arising out of or relating to fenfill, in aggregate, is limited to the amount you actually paid for the service in the twelve months before the event giving rise to the claim, or €100 if you paid nothing. This limit does not apply to damage caused intentionally or through gross negligence.

Nothing in these terms excludes liability that cannot be excluded by law — including liability for death or personal injury caused by negligence, for fraud, and any mandatory consumer rights you have where you live.

16. Suspension and termination

You may stop using fenfill and delete your account at any time. We may suspend or terminate an account that breaches these terms, that puts the service or other users at risk, or that we are legally required to act on. Where it is reasonable and lawful to do so, we will warn you first and give you a chance to put it right, and we will give you an opportunity to export your forms. On termination, sections 1a, 10, 14, 15 and 19 survive.

17. Privacy

How we handle personal data — and the precise line between what we store (your blank documents and field layouts, encrypted) and what we never receive (the answers anyone types into a form) — is set out in the Privacy Policy.

18. Changes to these terms

We may update these terms. The “last updated” date at the top always reflects the current version. If a change materially affects your rights or obligations, we will tell you by email or in the app at least 30 days before it takes effect. If you do not agree, you can cancel before that date; consumers then receive a refund of the unused part of a prepaid period. Business users who keep using fenfill after that date accept the new version.

19. Governing law and disputes

These terms are governed by the law of Poland. Business users: disputes go exclusively to the courts competent for our registered office in Warsaw. Consumers: you keep the protection of the mandatory rules of the country you live in, and you may bring proceedings in your local courts; we may only sue you in the courts of the country where you live. Consumers in Poland may also use out-of-court procedures, for example the permanent consumer arbitration courts at the Trade Inspection (Inspekcja Handlowa); taking part is voluntary for both sides. Before starting anything formal, please write to us; most problems are quicker to fix by email.
